What I Packed for My Trip Back to Chicago During Wedding Planning

As I packed my suitcase for my return flight to Chicago after spending time with Jason in Topeka, I had to laugh at how far this long distance engagement has stretched my planning skills. It’s not just my clothes and laptop anymore—now it’s glass candle holders, faux florals, and my flower girl’s tiara. Yes, I really packed all of that.

If you’re navigating wedding planning during a long distance engagement, you already know how real the coordination game is. Every trip becomes a mix of romance, logistics, Amazon hauls, and careful packing.

So I’m giving y’all a peek inside my suitcase this week: what I packed, how I’m protecting delicate wedding items in transit, and my favorite Amazon finds that help me stay organized and calm when I’m flying back and forth during this busy season.

Wedding Planning During a Long Distance Engagement: What I Packed for This Trip

Let’s start with the basics: my carry-on and checked bags always serve double-duty. One bag is for personal essentials and work, the other is now for wedding planning cargo—which, this time, included:

1. Artificial Flowers (Silk Florals for Bridal Shower & Wedding Centerpieces)

I’m transporting some of our centerpiece florals ahead of time so I’m not scrambling closer to the wedding. These were too pretty to risk crushing, so I layered them in between folded clothes.

My Pick:
Artificial Eucalyptus – These look gorgeous draped on tables and pack surprisingly flat when wrapped in tissue paper.

Packing Tip:
Wrap florals in tissue or a plastic dry-cleaning bag and lay them flat on top of folded clothing in your checked suitcase. Don’t overstuff—it’ll crush the petals.


2. Glass Taper Candle Holders

These are non-negotiables for our wedding decor—but they’re also fragile. I packed four sets carefully using socks and bubble wrap.

My Pick:
Clear Glass Taper Candle Holders – Elegant, affordable, and surprisingly sturdy once wrapped.

Packing Tip:
Place each candle holder in a sock, wrap it with bubble wrap, and secure it with a rubber band. Then tuck them in between shoes or thick sweaters in your checked luggage to cushion any pressure.


3. Unscented Taper Candles

Candles are technically fragile and temperature-sensitive, so I always bring them as a carry-on item. I used a rigid cardboard mailing tube to avoid bending or snapping.

My Pick:
White Unscented Taper Candles – Classic and clean for wedding tables.

Packing Tip:
Place candles in a tube mailer or hard pencil case, then slide it into your tote or backpack where it won’t be crushed.


4. Tiaras, Crowns & Hair Accessories

Y’all. I was not about to risk the flower girl’s tiara getting damaged or tangled in checked baggage. This baby flew with me, tucked in my personal item like royalty.

My Pick:
Flower Tiaras and Crowns – Lightweight, sparkly, and not too tall for packing.

Packing Tip:
Use a sunglasses case or padded jewelry box. Line it with a soft scarf and keep it snug in your tote or purse. I kept it in the box it came shipped in just to be sure it wouldn’t move around.


5. Everyday Essentials + Organizational Must-Haves

Of course, I also packed the usual things: outfits for work, my laptop, toiletries—but I kept everything tidy with a few tried-and-true Amazon favorites that make flying back and forth easier:


Tips for Flying With Wedding Decor

Packing for wedding planning during a long distance engagement is different from a typical trip. You’re transporting keepsakes, details, and fragile dreams. Here are my top tips for flying with wedding-related items:

1. Prioritize what flies with you.

Bring anything irreplaceable or fragile as carry-on. That includes heirloom jewelry, decor samples, and printed wedding contracts or invitations.

2. Use protective layers.

Socks, scarves, and sweaters are your best friend. Wrap items like glassware and florals with layers of soft fabric or bubble wrap, and tuck them into the center of your luggage.

3. Label everything.

If you’re checking a bag with decor, label it “FRAGILE” and consider including a packing list inside the suitcase in case TSA opens it.

4. Stay TSA compliant.

No gels, liquids, or aerosols over 3.4 oz in your carry-on. Check candles in solid form only, and confirm airport rules if you’re unsure.

5. Pack early, not the night before.

You’ll think more clearly, have time to run to the store for missing items, and feel more peace boarding that flight.

It’s easy to feel overwhelmed in this season—especially if you’re flying solo with a suitcase full of responsibility. But here’s the truth:
